Business Privacy & Confidentiality Addendum

This Business Privacy & Confidentiality Addendum supplements the HOMELife Technology Privacy Policy. It does not replace the Privacy Policy and should be read together with it.

The Privacy Policy applies to our website, online store, orders, cookies, analytics, advertising and ecommerce activities. This Addendum explains how HOMELife Technology Pty Ltd handles personal information in broader business activities, including phone and email enquiries, quotes and invoices, customer support, product support, warranty and returns, complaints, incidents, supplier communications, business administration, employment records and NDIS-related records where relevant.

Information we may collect

Depending on the situation, we may collect personal information such as:

  • name and contact details;
  • organisation, role or business contact details;
  • order, quote, invoice, delivery or product details;
  • customer support, product support, warranty or returns information;
  • feedback, complaint or incident information;
  • information provided by a family member, carer, nominee, plan manager, support coordinator, provider, advocate or other representative;
  • employee, contractor, training, screening or business administration records.

Some customers or representatives may choose to provide information about disability, health, support needs, home environment or communication preferences. We do not require this information unless it is reasonably necessary for the enquiry, order, support request, complaint, incident or legal/regulatory obligation.

How we use this information

We use personal information to:

  • respond to enquiries;
  • provide quotes, invoices, customer support and product support;
  • process orders, returns, warranties and product issues;
  • manage complaints, feedback, incidents and safety concerns;
  • communicate with purchasers, recipients, representatives, plan managers, providers or support people where appropriate;
  • manage supplier, insurer, professional adviser and business relationships;
  • maintain employment, contractor, training and compliance records;
  • meet legal, regulatory, audit, insurance and business obligations;
  • improve our products, services, communication and processes.

NDIS, aged care and support-related records

Some customers purchase products using NDIS, aged care, home care, disability support, plan management or other funding arrangements.

Where relevant, we may collect information needed to prepare invoices, process orders, respond to support enquiries, manage complaints or incidents, or communicate with a purchaser, recipient, plan manager, support coordinator, provider, carer, advocate or authorised representative.

If sensitive information is provided to us, we handle it with additional care and only use or disclose it for the purpose for which it was provided, a related purpose reasonably expected by the person, or where required or permitted by law.

Complaints, incidents and safety concerns

If you provide feedback, make a complaint, report an incident, raise a safety concern, or are involved in a complaint or incident, we may collect information needed to understand, assess, record, respond to and resolve the matter.

Where required or appropriate, we may share relevant information with regulators, emergency services, police, insurers, professional advisers, suppliers, manufacturers, delivery providers or other parties involved in managing the matter.

This may include the NDIS Quality and Safeguards Commission where an NDIS-related reportable incident or complaint obligation applies.

Employee, contractor and business contact information

We may collect personal information about employees, contractors, job applicants, suppliers, professional advisers, business contacts and representatives of organisations we deal with.

This may include names, contact details, role information, employment or engagement records, screening or training information, qualifications or experience information, emergency contact details and communications with us.

We use this information for recruitment, employment, contractor engagement, business administration, workplace health and safety, compliance, training, record-keeping, payroll or payment administration, and managing business relationships.

Some employee records may be exempt from aspects of the Privacy Act 1988 where the employee records exemption applies. However, HOMELife Technology still takes reasonable steps to keep employee and contractor information secure and confidential.

Security and access

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure.

Personal information may be stored in secure business systems, ecommerce systems, email, cloud storage, accounting or invoicing systems, customer support records, compliance folders and administration systems.

Access to personal information is limited to workers and service providers who need it for legitimate business purposes. Sensitive worker, participant, customer, complaint, incident and compliance records are stored in restricted-access locations where appropriate.
